Anchorage Barn Veterinary Clinic's Terms

1. Introduction

We are delighted that you are entrusting the care of your pets to Anchorage Barn Veterinary Clinic. In this document we outline our terms and conditions, and where these are applicable to you, and you have any query, we ask that you seek clarification from one of our team. We set out the terms on which Anchorage Barn Veterinary Clinic will provide veterinary treatment for your pet and your request for treatment means you have accepted these terms.

2. Appointments

a. To provide our best attention to your needs, all consultations are by appointment during our normal surgery hours.

b. For new clients we will as a matter of professional courtesy, contact your previous veterinary practice and we will obtain a copy of your pet's clinical records.

c. We charge for all veterinary consultations. Our nurses run some free of charge clinics, and members of our team are happy to advise you of these and the suitability for your pet.
Emergency Services

Our 24 hour emergency service is shared with The Grove Veterinary Group. In the event of an emergency always phone Anchorage Barn on 01485 528221 and there will be a message informing you of the telephone number of the Vet on call. If it should be a Vet from The Grove it will be necessary for you to attend their premises. All fees charged by the out of hours service are payable at the time of consultation, and to the Practice attending to you.

3. Fees

a. A price list showing the cost of many routine products and services can be requested from reception.

b. At your request we will provide a written estimate for treatment. An estimate is valid for 30 days. We stress that this is an estimate and during procedures, the course of your pet's treatment may well change. While we will make every effort to contact you to discuss additional costs, there may be situations where treatment must be carried out for the sake of your pet’s welfare.

c. Anchorage Barn Veterinary Clinic is a business and as such respectfully we inform you that we are not able to offer discounts to anyone, including individuals receiving benefits. We are able to help with applications to Charities for those who have already been accepted by a charity for aid, but we must stress that all fees incurred for your pet’s treatment, remain your responsibility.
d. We reserve the right to alter our prices.
e. All prices quoted, whether on our price list or in an estimate, are inclusive of the current rate of VAT.

4. Payment

a. You must pay all fees at the time of each treatment. This means after every consultation, when you collect a prescription or food, or when your pet is discharged after surgery.
b. The practice does not give credit to clients.

c. It is recommended that you request a written estimate before treatment is given.

d. It is your responsibility to inform the practice if you believe you may have difficulty in making payments.

e. We may request part payment or proof of a method of payment before any treatment is given.

f. We accept cash and all major credit and debit cards. Due to the withdrawal of the cheque guarantee service, we prefer not to accept cheques.

g. The practice reserves the right to make administration charges on outstanding balances. Any costs incurred recovering bad debts will be met by the client.
h. If payment is not received within 30 days of treatment, action will be taken to recover the outstanding balance.

i. Outstanding balances over 30 days that have not been pre-agreed with the practice will have a £20 + VAT administration fee added.

j. Outstanding balances over 60 days will have a further £20 + VAT administration fee added. At this stage a debt collection agency will be used to recover the outstanding balance. This may lead to legal action being taken to recover the debt. Any court fees incurred will be recovered from the client.

5. Pet Insurance

a. We recommend that you take out health insurance for your pets. This will ensure that any treatment decision is made on the grounds of clinical excellence rather than cost.

b. Pet insurance is a contract between you and the insurance company.
c. We will complete your claim forms and your continuation claim forms free of charge for you, but you must have paid us for all the fees at the time of each treatment and be claiming them back from your insurance company. In exceptional circumstances where a large claim is involved, we will, by prior agreement only, make a direct claim from your insurance company, providing any excess is paid to us first, and, on the strict understanding that should the company fail to meet your claim, you remain liable for the debt and settlement of the balance must be made immediately.

d. If you are concerned your insurance company might not cover the cost of any course of treatment,we recommend you contact them to arrange pre-authorisation.

6. Radiographs and Clinical Records

a. All radiographs are in a digital format and if you would like a copy this is available on request for a small charge.

b. We retain ownership of clinical records and test results relating to your pet's treatment. You may inspect these by request.

c. If you wish to seek a second opinion at any time or decide to move to a new practice, we will supply all records and test results etc. directly to the practice concerned.

7. Prescriptions

a. Prescriptions are available for any Prescription Only Medicine (POM-V, POM-VPS or NFA-VPS) required to treat any animal under our care (POM-V only). These medicines may be obtained from us or you may ask for a written prescription to obtain these medicines from another veterinary surgeon or pharmacist or merchant (POM-VPS, NFA-VPS). A fee is chargeable for the prescription itself. Consultation fees will apply in either case. Please refer to the notice in reception.

8. Referrals

a. It may be necessary to seek a second opinion from a specialist veterinary surgeon. This may mean sending radiographs, or your pet may have to be seen at a specialist referral centre.

b. We recommend that clients ask referral practices for an estimate before treatment begins.

9. Complaints and Standards

a. Anchorage Barn Veterinary Clinic aims to provide the highest standard of care for you and your animals, and we hope that you never have cause to complain. However, any complaint should in the first instance be made in writing to the directors. If the problem is not resolved at this stage, you may wish to contact our governing body, the Royal College of Veterinary Surgeons.
b. No addition or variation of these conditions will bind the practice unless it is specifically agreed in writing and signed by one of the practice directors. No agent or person employed by, or under contract with, the practice has the authority to alter or vary these conditions in any way.

10. Website Terms

The term 'Anchorage Barn Veterinary Clinic' or 'Anchorage Barn' or 'us' or 'we' refers to the owner of the website. The term 'you' refers to the user or viewer of our website.
